Building a mobile app with AI to optimize internal operations at Rootstrap

The challenge

Rootstrap's Administration Team needed a more cost-effective alternative to Flokzu, a tool that incurred substantial expenses due to its per-user pricing model. Recognizing the financial strain caused by having to add every team member individually, the Administration Team proposed developing an in-house solution to handle their tasks more efficiently. It allows employees to upload photos of invoices and corresponding data for refund requests; these include expenses related to the lunch program, gym pass, travel, and more. The Admin Team then uses the captured data to manage the costs, handle providers, and plan budgets.

What we did

Transform Rootstrap’s needs into a product

We took the best from Flokzu, considering the Administration Team’s current needs, and translated that into an efficient and usable product for internal use. This internal tool was envisioned to encompass a range of functionalities critical to the team's operations. A ready-to-use app on iOS and Android was released for everyone at Rootstrap.

Streamlining operations

It aimed to streamline the management of equipment stock, including monitors, laptops, and various devices. Additionally, it sought to centralize the tracking of team-bonding budget requests, ensuring a transparent allocation of resources. Moreover, the tool aimed to streamline the management of travel expenses, including costs related to food and transportation. A standout feature of the proposed tool was its use of AI technology to automate text information extraction from receipts. This approach promised to enhance accuracy and efficiency in expense tracking and reflected the team's commitment to leveraging cutting-edge solutions for optimizing workflow processes.

Reimbursing expenses

The tool aimed to simplify monitoring lunch expenses for each team member, enabling easy tracking and reimbursement. The Administration Team's approval of expenditures would be seamlessly integrated into the system, ensuring adherence to financial guidelines.

Application of AI

AI was leveraged to build one particular functionality in the app: the capacity to upload receipts and extract, incorporate, and store that information without the user having to input it themselves. This made the uploading of said information more efficient and fast.

Web admin dashboard

This web dashboard, developed in Node and ReactJS, allows the Administration Team to manage expenses, providers, stocks, and benefits and generate reports. The application offered the capability to create comprehensive reports, providing valuable insights into expenditure patterns and resource utilization. These reports would enable informed decision-making and facilitate strategic planning within the Administration Team.

In essence, the development of this internal tool represented a proactive approach to optimizing operational processes and minimizing unnecessary expenses. By addressing the specific needs of the Administration Team, it promised to enhance efficiency, transparency, and cost-effectiveness in managing various aspects of their responsibilities.
